SUMMARY:Beyond Enrollment: Practical Methods for Improving Study Retention (Session 1)
DESCRIPTION:Join us and learn practical participant retention methods that UW research teams use to improve engagement\, reduce attrition\, and strengthen study outcomes. Through real-world examples\, presenters will demonstrate how they build trust\, maintain communication\, reduce barriers to participation\, and keep participants engaged throughout the research process. \nWe encourage you to attend even if your research focuses on a different population than those represented by the presenters. You will leave with actionable strategies that you can adapt and implement across a wide range of study designs and participant populations. \nWatch recording here: https://www.youtube.com/watch?v=b2-mIxh5n7M   \n  \n\nFrom Recruitment to Retention: Engaging Traumatic Injury Populations \n\n\n\nPresenter: Hannah Muller \n\n\n\nThis presentation will discuss recruitment and retention strategies implemented throughout the Screening in Trauma for Opioid Misuse Prevention-Adapted Intervention (STOMP AI) Research Study. Specifically: \n\nEnsuring participants had a clear understanding of the study at Informed Consent\nProviding tailored handouts at Informed Consent as a “roadmap” through study\nTexting reminders to participants for visits/surveys\nPrompt payment via Advarra \n\nThis project recruited participants out of UW Health Hospital and Froedtert Hospital in Milwaukee from Aug. 2024-June 2026. Participants were followed for 24 weeks after hospital discharge. \n\n\n\nOptimizing Study Retention by Easing Patient Burden \n\n\n\nPresenters: Keelin McHugh\, Alyssa Turnquist & Meagan Sulikowski \n\n\n\nWhen creating study protocols\, teams should prioritize participant-centered strategies rather than what is convenient for the research team. This approach requires deliberative planning to minimize participant burden and to offer appropriate incentives. Wisconsin Research and Education Network leadership will illustrate these approaches with examples of successful retention efforts drawn from both past and ongoing research studies.

DESCRIPTION:The Trial Innovation Network (TIN) & Stanford Medicine presents: \nKatherine Connors\, MPH  &  Andrea Bolanos\, MPH \nThis presentation will review honest broker Epic MyChart recruitment for several “sensitive” studies\, such as those focused on reducing drinking for those with Alcohol Use Disorder\, novel treatments for depression and OCD\, and suicide prevention. As an example\, for a study using a telehealth app to reduce drinking\, Epic MyChart outreach was responsible for enrolling 55 of total 118. Other strategies included social media\, and the Stanford Research Registry\, among others.

SUMMARY:The Multi-Site Manifesto: A PI’s Field Guide to High-Impact Collaborative Research
DESCRIPTION:The April Clinical Trials Community of Practice will feature Adam Gepner\, MD\, associate professor of Cardiovascular Medicine at UW–Madison.  \nPresentation Description: Embarking on a multi-center randomized controlled trial (RCT) requires a shift from scientific clinical oversight to strategic operational leadership. In this session\, Dr. Gepner shares “The Multi-Site Manifesto”—a practical roadmap for PIs looking to expand their research footprint. \nThe talk will move beyond the protocol to address the “who\, when\, and how” of collaborative execution\, including: \n\nStrategic Site Selection: Determining the “Goldilocks” number of sites and picking collaborators for targeted recruitment and demographic diversity.\nThe Pillars of Standardization: Why the Manual of Procedures (MOP) is your most powerful tool for ensuring protocol fidelity.\nNavigating the Infrastructure: Streamlining IRB hurdles\, Data Safety Monitoring Boards (DSMB)\, Adverse Event Reporting\, and regulatory harmonization.\nThe Human Element: Setting clear expectations for site PIs and empowering study coordinators—the true “best friends” of any successful multisite trial.\n\nWhether you are currently planning a multi-center study or looking to optimize an existing network\, this seminar offers real-world lessons on managing the complexity of distributed clinical research. \nTo receive an invitation to the online meeting\, contact Theresa Lins.
